Privacy Policy
This policy explains how TDQS Pty Ltd ("TDQS", "we", "us") collects, uses, stores, and protects your personal information — with specific detail on data used for advertising through Meta Platforms, Inc. ("Meta", formerly Facebook).
1. Information we collect
- Contact details: name, email address, phone number, and property address submitted via our qualification form or contact channels.
- Property information: asset type, ownership structure, purchase date, and existing schedule details you voluntarily provide.
- Usage data: pages visited, time on site, scroll depth, button clicks, and device/browser information collected automatically.
- Communication records: emails, call notes, and meeting transcripts related to your engagement.
2. How we use Meta advertising tools
We use Meta's advertising products to reach commercial property investors who may benefit from our services. This involves the following technologies and practices:
Facebook Pixel
We have installed the Meta Pixel (a snippet of JavaScript code) on our website. When you visit our site, the Pixel sends information to Meta about your visit, including:
- Pages you view and the actions you take (e.g., starting a form, clicking a button).
- Your IP address, browser type, and approximate location (country/city level).
- A hashed version of your email address if you have provided it, which Meta may use to match you to a Facebook/Instagram account.
Conversions API (CAPI)
In addition to the browser-based Pixel, we send event data directly from our servers to Meta using the Conversions API. This server-to-server connection shares:
- Form submission events (e.g., when you complete our qualification survey).
- Hashed identifiers (email, phone) to help Meta attribute conversions to ad campaigns.
- Event timestamps and action types, without sending raw unhashed personal data.
CAPI improves measurement accuracy, especially when browser cookies are blocked or deleted, and is configured to transmit data in a privacy-preserving manner.
Custom Audiences & Lookalike Audiences
We upload hashed email lists to Meta to create Custom Audiences. This allows us to show ads to people who have previously interacted with TDQS (e.g., past clients or leads). Meta does not receive your raw email; it is hashed locally before upload and matched against Meta's own hashed user database.
We also create Lookalike Audiences from these lists. Meta finds users with similar characteristics to our existing audience and shows them our ads. Lookalike Audiences do not contain your individual data; they are algorithmic groups based on aggregated patterns.
Meta Lead Ads
We may run Lead Ads on Facebook and Instagram. When you submit a lead form directly on these platforms, Meta shares the information you provide (name, email, phone, property details) with us so we can follow up. This data is subject to both Meta's terms and this privacy policy once it reaches our systems.
3. Why we collect this data
- To deliver and improve our tax depreciation and quantity surveying services.
- To measure the effectiveness of our advertising on Meta platforms.
- To retarget website visitors with relevant educational content and service offers.
- To build audiences similar to our best clients and reach new potential customers.
- To comply with legal obligations, including tax practitioner and RICS regulatory requirements.
4. Data sharing and third parties
We do not sell your personal information. We share data only with:
- Meta Platforms, Inc. — for advertising measurement, audience building, and ad delivery (as described above).
- Social Wave Pty Ltd — our CRM and marketing technology partner that hosts our qualification forms and transmits data.
- Our professional advisors, insurers, and regulators where required by law.
All third parties are contractually bound to use your data only for the purposes we specify and to maintain appropriate security.
5. Cookies and tracking technologies
We use cookies and similar technologies to:
- Remember your preferences and form progress.
- Analyse site traffic and user behaviour via the Meta Pixel and analytics tools.
- Support our advertising activities on Meta platforms.
You can disable cookies through your browser settings. Note that blocking the Meta Pixel may not prevent all data sharing if the Conversions API is active, though CAPI only transmits hashed, event-level data.
6. Your rights and choices
You have the right to:
- Access, correct, or delete the personal information we hold about you.
- Opt out of receiving marketing communications at any time by clicking 'unsubscribe' in emails or contacting us directly.
- Request that we stop using your data for Custom Audiences by contacting us — we will remove your hashed identifier from our active Meta ad lists within 7 business days.
Meta-specific opt-outs
You can also control how Meta uses your data for advertising directly through Meta:
- Visit Facebook Ad Preferences to manage your ad settings and see which advertisers have included you in their audiences.
- Use Off-Facebook Activity to clear data that Meta has received from our website and other businesses.
- Install the Facebook Pixel Helper browser extension to see which sites are sending data to Meta.
7. Data retention
We retain personal information for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Marketing data shared with Meta is refreshed regularly; inactive Custom Audiences are removed after 180 days of non-use.
8. Security
We implement appropriate technical and organisational measures to protect your data, including encrypted transmission (TLS), access controls, and regular security reviews. While no system is completely secure, we take reasonable steps to safeguard your information.
9. Changes to this policy
We may update this privacy policy from time to time to reflect changes in our practices, technology, or legal requirements. We will post the revised policy on this page with an updated effective date. Significant changes will be communicated via email where we have your contact details.
